Text Shortcuts Guide: Type Less, Say More Fast

You type your email, address, and the same replies every single day. Text shortcuts turn two or three letters into the whole phrase — on every device you already own.

Why Text Shortcuts Save Real Time

A shortcut is simple: type a short code like @@ and your phone expands it into your full email address. No app, no cost — the feature is built into iPhone, Android, Windows, and Mac keyboards.

Pair shortcuts with our Voice Typing guide and long messages almost write themselves: dictate the draft, shortcut the parts you always repeat.

Set Up Text Shortcuts in Minutes

  • iPhone: Settings → General → Keyboard → Text Replacement → tap + . Enter the full phrase, then the shortcut.
  • Android: Keyboard settings → Dictionary → Personal dictionary → tap + . Add the phrase and an optional shortcut.
  • Windows: Many apps support their own text expansion; for system-wide phrases, use the clipboard trick below and pin your most-used lines.
  • Mac: System Settings → Keyboard → Text Replacements → tap + . Add the phrase and its shortcut — it syncs to iPhone on the same account.

Lost a phrase you copied while setting up? The Clipboard History trick brings copied text back.

10 Shortcuts Worth Making Today

Shortcut Expands To Use It For
@@ Your email address Forms and sign-ups
addr Your street address Delivery and forms
phn Your phone number Callbacks and bookings
tyvm Thank you so much — I appreciate it! Polite replies, fast
omw On my way — see you soon! Running-late texts
mtg Your meeting link or booking line Scheduling messages

Never make a shortcut for a password — shortcuts are plain text anyone with your unlocked phone can read. Passwords belong in a vault, as our Passkey guide explains.

Shortcut Rules That Prevent Embarrassment

  • Use codes you would never type by accident — @@ beats “em” for email.
  • Keep codes short: two to four characters you can remember.
  • Test each new shortcut in Notes before using it in a real message.
  • Review your list twice a year and delete addresses or phrases you no longer use.

Want fewer interruptions while you practise? Our Focus Mode guide silences the noise and keeps what matters.

The Wizard's Summary

  • Text shortcuts are free and built into iPhone, Android, and Mac keyboards.
  • Start with email, address, and phone — the three things you type most.
  • Pick codes you will never type by accident, and test before you send.
  • Never store passwords as shortcuts; keep those in a proper vault.

What phrase do you type so often it deserves its own shortcut?
